Who this is for: Wedding parties, conventions of members, dealer and distributor groups, temple and community trips, and whole-grade school movements above 50 travellers.

Fifty is the number where a trip stops being a booking and starts being logistics. Below it, a mistake costs an hour. Above it, a coach that arrives at the wrong entrance strands sixty people in the sun, a restaurant that seats 80 when you brought 120 turns dinner into two hours of standing, and an airline that wanted the final name list on the 21st will not care that your numbers moved on the 23rd. None of this is difficult. All of it has to be decided in the right order and early.

What large groups should ask a supplier for is not enthusiasm but arithmetic: how many coaches, seating how many, from which entrance, at what time, and who is on each one. If the answers come back vague, the trip is being improvised. Below are ours, written down before you ask, because a group of 150 is not the place to discover that nobody counted the luggage.

Minimum group size

Group pricing starts at 10 travellers. Smaller parties are quoted too, but the price behaves like a private trip.

Free places

One free place for every 20 paying travellers, applied to the land cost. Airfare and visa are not included in it.

Who runs it

Our own office in Singapore — the contracts, the coaches and the coordinator are ours, not a subcontract booked from elsewhere.

What changes as the group grows

One hotel, rooms held on allotment with a release date. Miss the release date and the block goes back to the hotel at public rates. Two tour managers, one per coach, and a lead coordinator who is not driving anything and can therefore solve problems.
100 – 140 travellers Three coaches in convoy with numbered allocation. People stay on the same coach for the trip; it is how a headcount stays honest. One property if the dates allow, otherwise two next to each other. Check-in staggered by coach, because a 140-person queue at one reception desk takes 50 minutes. Meals in a restaurant that can seat the whole group in one sitting, or a deliberate two-sitting plan. Never a hopeful walk-in.
150 – 200+ travellers Four or five coaches, a lead vehicle, and a written stop protocol at every attraction — set-down point, meeting point, departure time, coach number on a card everybody carries. Booked six to nine months ahead. At this size Singapore's calendar decides your dates as much as yours does. A coordinator per 40 travellers, a printed manifest, and a duty phone that is answered through the night.

What the package includes

What it does not

  • Airline name-change fees after the list deadline, which are the airline's charge and not ours to waive
  • Rooms added after the allotment release date, which are quoted at whatever the hotel is selling at that day
  • Personal expenses and anything bought at an attraction on the day
  • Charges arising from the group's own schedule changes on the ground, such as a coach held for two extra hours

What actually moves the per-person price

How far ahead you commit

This matters more at 150 travellers than every other decision combined. Blocks booked six months out are priced on a hotel's forecast; blocks booked six weeks out are priced on what is left. It is routinely the difference between a comfortable per-head number and an uncomfortable one.

Whether the group fits one hotel

Seventy rooms at one property on your exact dates is not always available in Singapore. Splitting across two adjacent hotels usually costs less than forcing one, but it adds a second check-in, a second breakfast room and a second pick-up point. We price both and let you choose with the trade-off visible.

How the meals are served

A buffet for 150 costs less per head than a served set menu and moves four times faster, which is why nearly every large group ends up there. Where a set menu matters — a wedding party, an awards night — we plan two sittings rather than one long wait.

How firm your numbers are

Airlines want the final name list weeks before departure and charge for changes afterwards. A group whose numbers move by fifteen after ticketing pays for that movement. Building in a realistic buffer at the booking stage costs far less than correcting it later.

Planning calendar

6 – 9 months before Hotel block and group airfare held. At 100+ travellers this is the step that decides the price of the whole trip.
3 months before Itinerary locked, coach fleet confirmed, restaurants booked for the headcount, deposit milestones paid.
6 – 8 weeks before Allotment release date and the airline name-list deadline. Names must match passports exactly; this is the least forgiving date in the calendar.
2 weeks before Coach allocation, rooming list, manifest printed, stop protocol issued and the duty number circulated.

Questions groups ask us

Six to nine months, and that is not a sales line. A hotel will hold seventy rooms for a group nine months out because its forecast has room for you; at six weeks it is selling what is left, at the rate it can get. Groups that book late are not usually refused — they simply pay materially more for the same trip.

Count on 40 seated travellers per 45-seat coach once luggage is aboard. So 100 travellers is three coaches, 150 is four, 200 is five plus a lead vehicle. Anyone quoting you two coaches for 100 people has counted the seats and not the suitcases.

Often, if you commit early. Singapore is a small city with high occupancy, so seventy rooms on fixed dates is a real constraint. We check one property first because a single hotel makes everything else simpler, and only propose two adjacent ones when the dates genuinely do not allow it.

Not necessarily, and at 200 travellers it is often impossible — no single flight has that many seats at one fare. We split across two or three services timed to land close together, and our staff meet each one at Changi. What we do not do is let a group arrive without someone from our team already in the terminal.

Airline group fares carry a name-list deadline and a change or cancellation charge after it. We tell you both in writing when the booking is made, not when the problem arrives. The land portion is more forgiving — we recalculate the per-person cost and show you the line that moved.

One per 20 paying travellers on the land cost: five at 100, ten at 200. Most large groups use them for the organisers and the accompanying staff, which is exactly what they are for.

Yes, and above 100 travellers we usually recommend it — the whole group does not need to see the same thing at the same time. It is planned in advance with its own coach allocation and its own meeting time. What does not work is splitting on the day and hoping the coaches sort it out.

One of our own coordinators, in Singapore, on a duty phone that is answered. At this size there is a coordinator for every 40 travellers and a lead who holds the plan, and the number is printed on the card every traveller carries. That is the whole reason to use a Singapore-based operator rather than a booking desk in another country.
